Responsibilities
The PA will provide comprehensive, professional and executive administrative support to the nominated Director/s.
This will include the efficient and timely execution of departmental and corporate administrative processes and efficient support of the delivery of departmental activities.
Accountabilities
Act as the central contact point in processing queries in a timely, prioritised and efficient manner.
Effective management of busy and complex diaries and travel arrangements.
Self starter managing ever changing and conflicting priorities of three bosses
Pro-active management of paper and electronic correspondence and effective production of communications and presentations from notes and briefs
Comfortable working without too much direction.
Capable of managing relationships with External suppliers and customers and support the timely flow of information for internal and external client requirements.
Serve as the focal point for theUKfinance team – ensuring effective gate-keeping, while also ensuring the right people always have access.
Organisation of team meetings and conference venues for Birds Eye Iglo events to Corporate standards some of which may be offsite.
Arranging video conference calls, internal and external meetings
Taking and filtering phone calls
Preparing papers for meetings
SAP – invoice checking, organising approvals, receipting. Raising new vendor documentation. Liaison withGloucester. Other invoice & accounting related activities
Leave and sickness monitoring for finance team
Expenses
Producing and distributing of Monthly Results booklets
DITC
Organising major business planning activities on behalf of Finance/UK GM e.g. Company Annual Planning
Preparation of presentations, speeches and reports to Corporate Branding standards.
Provide general administrative and gate-keeping support for the departments as required, including assistance with queries, formal correspondence and meeting minutes in order to maintain the professional image of the business.
Assist in the information management processes of the teams through the timely collation and distribution of information and data.
Frequent maintenance of information and paper filing systems and collation and distribution of reports.
Complete project work as directed by Line Manager.

Knowledge & Skills
Excellent IT skills – Advanced Powerpoint, Advanced Word, Outlook, SAP, Excel.

Comprehensive PA experience working at a senior executive level
